The Insider's View: Working as a C Level Executive Assistant for a 26-year-old High-Performing Client

Updated: Aug 13

Busy solopreneurs by back their time when they hire a virtual executive assistant.

“I know I look 16 and can’t grow a full beard, but this is all I know how to do, and I’m really great at it,” he says.

My client likes to start his first sales team meetings as the new Sales Director by breaking the ice and pointing out the pink elephant in the room.

Putting aside his young age and boyish look, he's sharp as a tack—brilliantly sharp, and quick-witted to boot.

This guy knows his numbers like the back of his hand, his way around spreadsheets as if they’re his playground.

His way of communicating is so direct, so transparent, that every word seems to carry weight and intention.

There's an art to his management and leadership that leaves you spellbound, pondering if you've got what it takes to play at his level.

Watching him in action reveals layers of his character, much like observing a Netflix series protagonist where subtle details say everything, and I can't help but wonder: is it innate talent, or is there some elusive X-factor at play?

Here is what I’ve observed so far:

Professional Vigor

He doesn't roll with the punches based on his mood; he's wired himself to always show up, hit the ground running, and full throttle. He gets that not every day's going to strike gold, that the fire in his gut won't always be blazing, yet he barrels forward. Why? Because falling back to those days of feeling lost in the shuffle, feeling like a nothing—yeah, that’s not a scene he’s willing to replay.

Humility Amongst Giants

He's humble. He knows his talents, wears his confidence without a hint of arrogance, and abstains from egotism. His ambition is not a solitary pursuit; he’s a team player at heart, earnest in his desire to uplift those around him. He champions collective triumph, recognizing that the surge of a business’s growth stems from group effort, not just the singular drive of one man or a lone department.

The Protagonist Amidst Adversity

He is a leader. He takes ownership of failures. He takes control when there are crises. He takes on all the responsibility for the failure. He doesn't dwell. He is solution-oriented. He moves forward by finding a solution. He doesn't bother with whose fault it is; he just wants to fix it. He’s interested only in the outcome. Not the drama. And when it comes to action, he's on it—immediately. Not tomorrow, not next week, but today. Right here, right now. That's how he operates.

The Art of Efficiency

He treats time like it's gold—because for him, it really is. His calendar? Try SIX. 6 separate calendars, navigating through a maze of 6 Slack channels, all while balancing the demands of about 40 sales reps plus the top leadership members. Each piece of his day demands a slice of his energy and focus. It's not just filled, it's curated with precision. Every meeting is there for a reason, slotted back to back—no buffers, no time for fluff.

Strategy Beyond Software

I'm observing that strategic thinking isn't anchored in fancy software; it unfolds on simple platforms like Google Docs. This is straightforward reverse engineering. While he does utilize specific software due to the scale of the businesses that he serves, it's clear that elaborate programs aren't necessary for crafting a strategy. It often comes down to opening up a Google doc and jotting down notes. It's a return to the basics.

Mastering Metrics: Beyond Just Numbers

I understand that as a high-performer he must intimately know his sales numbers. He tracks key performance indicators through spreadsheets and calculations, deeply understanding what these numbers signify, forecasting outcomes, sidestepping potential issues, and identifying opportunities to patch system gaps— all grounded in numerical evidence.

He delves into metrics and unpacks the reasoning behind them. Yet, he's conscious that numbers don't unveil the full narrative. It's crucial that he stays connected with his team's pulse because the lines between personal and professional life often blur. Numbers are a big piece of the puzzle, sure, but they’re not the whole picture.

Grit Over Chance

I've often heard it said, but now I'm witnessing it firsthand, behind the scenes. Those who ascend to the top of their industries don't get there by mere chance; it's all about grit.

Watching him at work, I take cues from the resources he values—the books and podcasts he recommends, the courses he's pursued, the mentors he's shadowed—all these pieces come together to form a clearer picture.

It's the countless hours he's devoted, the personal sacrifices he's made while others his age were indulging in leisure. The reason for his place at the top is unmistakable. It's not luck; it's merit. And he's earned it.

Mental Tenacity

He knows it’s a mental game. It’s about endurance. He lets the wave pass through him without deterring him from his goals.

He puts his head down and goes under to let the wave pass through him. He keeps going. He stops to reflect. What’s working? What’s not? What can be improved? There is constant refining, tweaking, rinsing, and repeating.

Living the Philosophy

He exercises regularly and prioritizes both his mental and physical well-being. He cultivates a strong support community and seeks guidance from a mentor. He is committed to working out and working hard.

His ambition is evident, and he strategically surrounds himself with other top-level professionals. He’s banking. He’s earning well, yet he's wise with it—aware of how to maintain and leverage his finances. Investing in himself is crucial for both his personal and professional growth.

Joining Forces with High Performers

High-performance players seek the company of their equals, valuing openness, coachability, and a willingness to step up. When you show up, ready to realize your potential, he's eager to have you by his side.

He'll advocate for you, mentioning your name in discussions with other significant players, but the expectation is clear: you must be ready to bring your best game. There's no room for mediocrity or time-wasting in this arena.

Prodigy Recognition

Watching the reactions he ignites among his seniors is an experience unto itself.  Some men are clearly smitten, while others find themselves caught between admiration and internal uproar, their pride quietly bruised as they grapple with how he's achieved so much in what feels like half their lifetimes—it sparks an existential crisis that inadvertently pushes them to level up creating an environment of healthy competition.

The female executives have a mix of professional respect and sheer astonishment for his capabilities at such a young age. From the get-go, he commands the room, leaving an indelible mark. Truly, he has them at "hello."

Unveiling the X-Factor

As the curtain falls on this behind-the-scenes look, I've realized the truth about climbing to the top—it's not a game of chance. It’s sheer resilience, strategic thinking, and an undying hustle. He's more than just a client; he's a glimpse into what's possible.

Up close, his determination and strategic savvy just reinforce what I know: to stand out, just showing up won't cut it. You've got to go all in, with laser focus and endurance that just won’t quit.

Greatness demands support; no one achieves it in isolation. Doing it all on your own isn't the answer. You want to focus on what you do best, and that's where I come in.

Drowning in work and feeling that your business's growth is taking a backseat? Time to get some backup.
